Let your AI answer the emails your customers already send you — no new address for them to learn.

Overview

This is forwarding, not a mailbox connection. You keep hello@yourbusiness.com exactly as it is today, and you add one rule at your own email provider that sends a copy of each incoming message to a private address we give you. We never sign in to your mailbox, and we never see mail you do not forward. Your customers keep writing to the same address they always have, and your AI replies in the same email thread, from your business name.

You are not forced into all-or-nothing. Every provider lets you forward everything, or add a rule so only certain mail comes through — only messages sent to info@, for example, or only mail from outside your company.

Features

Your existing mailbox, forwarded

Entagl gives you a private address that belongs only to your business. You add a forwarding rule at your email provider pointing at it. From then on, a copy of each incoming email reaches your AI while the original stays in your own inbox exactly as before. Step-by-step instructions are built into the setup screen for Gmail and Google Workspace, Outlook.com, Microsoft 365, the mailbox that came with your domain (Hostinger, Namecheap, GoDaddy, Bluehost, cPanel), Apple iCloud, Yahoo, Zoho, Proton and Fastmail — plus a general guide for anything else.

Reply, draft, or stay out of it

Three choices, and you can change your mind at any time. Reply automatically — the AI writes and sends the answer in the same thread. Write a draft for me to check — the AI writes the reply but does not send it; you approve or discard it in your inbox. Do not reply — mail is filed for you and nothing is generated. Workspaces that handle health data start on drafts.

It writes a letter, not a chat message

Email is not chat, so the reply is shaped like one: a brief greeting, short paragraphs, every question answered in order, one courteous closing line, and your signature underneath. No emoji, no chat bubbles. It also waits a moment before answering — a customer who sends two emails a minute apart gets one reply instead of two.

Send from your own domain (optional)

By default the reply comes from your business name, with your mailbox as the reply address, and some mail apps show a small "sent via" note. If you would rather the email came from your own address with nothing to indicate it was sent for you, add your domain and publish three DNS records. This is optional and most businesses never need it.

Common tasks

Set up email forwarding

About 10 min
  1. Go to Channels → Email and switch the channel on. Entagl mints a private forwarding address for your business.
  2. Copy that address. Keep it private — anyone who knows it can send mail into your inbox, and you can create a new one at any time if it ever leaks.
  3. Find your email provider in the list below the address and open its guide. It gives you the exact menus, in order, for that provider.
  4. Follow the steps at your provider. Watch for the one setting that would DELETE your own copy after forwarding — every guide calls it out, and you always want to keep your copy.
  5. Some providers email a confirmation code or link to your private address before forwarding starts. You cannot open that mailbox, so stay on the Entagl page — whatever arrives is shown to you there, usually within a minute.
  6. On the Settings tab, choose what the AI does with your email: reply on its own, write a draft for you, or stay out of it. Set your signature and your reply-to address while you are there.
  7. Test it. From a different email account, send a message to your business address. Within a minute or two it should appear BOTH in your own inbox and in your Entagl inbox. If it appears in only one place, stop and fix it before relying on the channel.

Forward only some of your mail

  1. Decide what should reach the AI — everything, or only some of it. Common choices are only messages sent to info@ or bookings@, or only mail from outside your own company.
  2. At your provider, build a rule instead of a plain forward. Gmail calls these filters, Outlook and Microsoft 365 call them rules, Fastmail calls them Filters & Rules, Apple calls them Rules.
  3. Point the rule at your private Entagl address, and make sure it keeps a copy in your own inbox. Anything the rule does not match is never forwarded, so we never see it.

Review a draft before it goes out

  1. On the Settings tab choose Write a draft for me to check. The AI still reads every email and still writes the reply — it just does not send it.
  2. Open the conversation in your Inbox. A waiting draft is marked at the top of the thread, and the reply card carries Send and Discard.
  3. Send it, or discard it. A discarded draft is kept and marked as discarded rather than deleted, so you can see what the AI proposed and that someone chose not to send it.

Send replies from your own domain

About 15 min
  1. Open the Sending domain tab and enter your business domain — yourclinic.com, not an address.
  2. Entagl shows three DNS records to publish. Copy each one into your domain provider's DNS settings exactly as shown.
  3. Come back and press Check again. DNS can take a few minutes to a few hours to spread; nothing is lost if it is not ready yet.
  4. Once it shows as verified, set Send replies from to an address on that same domain. Until you do, replies keep going out under the default sender.
  5. Send yourself a test email and check what the sender line says in your own mail app.

Tips

Never tick the setting that deletes the original after forwarding. It empties your own inbox permanently, and no provider warns you twice. Every guide in the setup screen names the exact wording your provider uses for it.
For the first two weeks, glance at your spam or junk folder. Every provider filters spam BEFORE forwarding, so a genuine customer enquiry wrongly marked as junk never reaches your AI. Marking it "not spam" fixes future ones.
Add suppliers, newsletters and no-reply addresses to Never reply to in the Settings tab. Their mail is still filed in your inbox — it just never gets an automatic answer.
The AI stays out of group emails by default: if you are only copied in, or several people are on the message, it files the mail for a person instead of answering. You can change that in the Settings tab.
