Overview

The Contacts page is your CRM. Every customer who has ever written in through any channel shows up here with their name, phone, email, tags, last message, and full conversation history. Search and filter to find anyone instantly, import contacts from a spreadsheet, export them for marketing, and merge duplicates when the same person shows up twice.

Features

Lead tracking

The Lead column shows which contacts were captured as leads, where the lead came from, and when it was captured. Leads only works in the list and board. The lead-source menu can show Facebook forms, AI chat, collection gates or manual leads. The captured-lead flag stays with a contact as it moves through your sales stages.

Contacts table

Lists every contact with their main details: name, phone, email, channels they use, tags, last seen, and total conversations. Click any row to open the full contact profile.

Choose your columns

Click Columns in the top bar to tick the details you want to see and untick the ones you don't. Contacted, Assigned To and Queued Call start off — turn them on any time. You can also drag the edge of a column header to make it wider or narrower, and use the small arrows on the left and right of the table to slide across to columns that don't fit on screen. Your choices are remembered on this device.

Custom properties

Track anything specific to your business on every contact — membership tier, referral source, preferred stylist. Give the property a name, pick what kind of information it holds (text, a number, a date, a yes/no, or a list to pick from), and it becomes an optional column in your contacts table, a field on every contact page, and a target you can map a spreadsheet column onto when importing. You can also let your AI assistant collect a property in chats and calls, or keep it manual — that switch is per property, so sensitive fields stay in your hands.

Search

Find contacts by name, phone, email, or any word in their tags.

Filters

Narrow the list by channel, tag, assigned team member, created date, and whether they are a lead, customer, or subscriber.

Bulk actions

Select multiple contacts with the checkboxes to tag, untag, assign, export, or delete them all at once.

Import contacts

Upload a CSV of contacts — useful when onboarding from another system. The importer helps you map columns (name, phone, email, tags).

People who came from a campaign list

Anyone added by uploading a file on a campaign carries a "Campaign" tag next to their name, and a "Marketing campaign contact" property on their record. You can filter the list by that property to see everyone who arrived this way. Open any contact and the Campaigns tab shows every campaign they have been part of; turn on the "Last Campaign" column to see the most recent one they were sent.

Export contacts

Download all contacts or your current filtered list as an Excel file (the default) or a CSV for Google Sheets, Excel, or another CRM. Excel keeps names with special letters like ş, ğ or İ intact. Pick a "File language" to get the column names in any of the app's 10 languages. Tick "Include conversation history" to add a second file with every chat, or leave it off for a quick contacts-only export. Choose "Email a download link" to send the files to yourself, the workspace owner or a teammate instead of downloading (links work for 7 days). Big lists take a little while: a small card in the bottom-right corner shows how many contacts are ready while you keep using the app.

Merge duplicate contacts

If the same customer appears twice (maybe they messaged from WhatsApp and Instagram with different names), merge their profiles so the history combines into one.

Spot the same customer on two channels

When a customer moves between channels, Entagl can connect their accounts after a secure handoff or your team’s confirmation. A matching phone number, email or username alone is only a suggestion. Review the suggested contacts before joining them. Private conversation history is used only after identity is confirmed.

Contact profile page

Click any contact to see their complete profile: all past conversations, orders, appointments, notes, tags, and custom fields. Edit any field from this page.

Notes

Everything written about this customer in one list: notes your AI recorded during a chat, notes your team added by hand, and notes written on their bookings and orders. Each one shows who wrote it and which record it came from.

Common tasks

Find and review leads

About 1 min
  1. Open Contacts and click Leads only. The count is the number of captured leads in the workspace, across all sales stages.
  2. Open the menu beside Leads only to choose a lead source. Other contact filters still apply. Use Clear all filters in the mobile filter sheet to reset the selection.
  3. In the list, use Columns to show or hide Lead. Open a contact and read Lead info for its source, date, form, ad, campaign, WhatsApp result and queued call time. Custom form answers are shown with the contact properties.
  4. Choose Export to export the contacts matching your current lead filters. On mobile, use the Leads only pill and open the contact's Info tab to see the same lead history.

Open a customer record

  1. Open the sidebar → Customers.
  2. Search by name, phone, email, or tag, then click a row to open the full profile.

Import contacts in bulk

  1. Open the sidebar → Customers.
  2. Click Import in the top right, upload a CSV, map columns, and confirm.

Join two contacts that are the same person

About 2 min
  1. Open Contacts and tick the two people you want to join.
  2. Click Merge. You will see both records side by side.
  3. Where the two disagree — a different name or phone, say — pick which one to keep.
  4. Click Merge to confirm. Their chats, bookings, orders and notes all move onto one record, and nothing is deleted.

Undo a merge

About 1 min
  1. Open the contact you merged into and find "Merged contacts".
  2. Click Undo next to the one you want to separate.
  3. The two records are separated again and everything goes back where it was. Anything your team changed or added since the merge stays on the main contact.
Every join can be undone from the contact's own page. (September 2026)

Tips

Lead source is separate from the contact's original channel and current stage. A returning WhatsApp customer who submits a Facebook form keeps WhatsApp as their original channel. A captured lead still appears under Leads only after moving to Customer.
Tag contacts consistently — small, simple tags like "VIP", "Lead", "Booked" work better than long descriptions.
Contacts are automatically created the first time someone messages any of your channels.
Deleted contacts can't be recovered. Export first if you're not sure.
