Overview
The Inbox is where you read, reply to and manage every conversation your AI has with customers. WhatsApp, Instagram, Telegram, Facebook Messenger, email and the website widget all show up in the same list. You can watch the AI answer in real time, jump in whenever you want, assign a chat to a teammate, leave comments only your team can see, tag contacts, and close a chat with a short note on how it ended.

What you can send
Photos and videos from your device, files such as PDFs, spreadsheets and documents, and voice notes you record yourself. You can attach several at once and add one message that goes with them.
Where it works
Attachments work on WhatsApp, Instagram, Telegram, Facebook Messenger, your website chat, and the API channel. TikTok is the exception — TikTok does not let businesses send photos, videos, or files in direct messages, so on TikTok conversations you can only reply with text.
Size limits
Each channel sets its own limits. As a rule of thumb: photos up to 5 MB, videos and voice notes up to 16 MB, and documents up to 25 MB. If a file is too big, Entagl tells you before it tries to send, so nothing fails silently.
On your phone
Everything here works in the Entagl mobile app too. Tap + to take a photo on the spot or pick one from your gallery, and tap the microphone to record a voice note. The first time, your phone will ask permission to use the camera, your photos, or the microphone.
Opening what a customer sends you
Photos, videos and PDFs all open the same way. A PDF shows its first page right in the conversation with a '1 of 3' badge, so you can often read what you need without opening anything. Click it to open the full-screen reader, move between pages, and zoom in. Photos open full screen and zoom. Videos play on their own, silently and on a loop, so you can see what a clip is without clicking — move your mouse over it (or tap it on your phone) to turn the sound on, pause it, open it full screen, or save it.
Files sent through a secure upload link
If you have turned on secure file uploads, anything a customer sends through their private upload link arrives here too — in the conversation, at the time they sent it, marked with a Vault badge. Rest your mouse on the badge to see the date those files will be deleted, or use the delete button beside it to remove them sooner. These files never pass through the chat app, and they open the same way as any other photo, video or PDF.
Send a photo to a customer
About 1 min- Open the sidebar → Inbox and click the conversation.
- Click the + button next to the message box and choose your photo or video.
- Pick one or more items. You'll see a preview of what you're sending.
- Add a message in the text box if you want one, then click Send.
Record and send a voice note
About 1 min- Open the conversation and find the microphone button next to the message box (it appears when the message box is empty).
- Tap it to record. Tap the check mark when you are done.
- Listen back if you like, then send it — or use the bin icon to delete it and try again.
Send a PDF or document
About 1 min- Open the conversation and click +, then choose the file from your device.
- Add a short message explaining what it is.
- Click Send.
Read a PDF a customer sent you
About 1 min- Open the sidebar → Inbox and click the conversation.
- Find the message with the document. Its first page is shown in the conversation, with a badge telling you how many pages it has.
- Click the page to open the full-screen reader. Use the arrows on the left and right — or your keyboard arrow keys — to move between pages.
- Use + and − to zoom in on small print, or the download button to save a copy to your computer.
Features
Conversation list
Every chat from every connected channel in one list, newest first, with unread counts, CRM stage, and status badges. On desktop you can drag the divider on its right edge to make the list wider or narrower — it remembers your choice.
Channel filter
Narrow the list to a single channel — for example, only WhatsApp or only Instagram — when you want to focus on one type of customer.
Status filter
Tap the filter icon to narrow the list: open or closed chats, unread only, a specific channel, a date range, conversations that started from an ad, or a CRM stage.
Quick filters for conversations that need attention
Chips under the Business and Personal tabs surface the chats that need a person: 'Needs human' lists handovers, 'AI paused' lists chats where the AI is switched off, 'Follow-ups' lists warm conversations the AI recommends revisiting, and 'Unread' shows what you haven't opened yet.
Message thread
The back-and-forth of the conversation. Customer messages are on the left; your agent's or team's replies are on the right. You'll see attachments, images, voice notes, and quick-reply buttons inline. On web and mobile, choose Copy beside any text message to copy exactly what you see, including an active translation. When you see “No response sent”, select “Show More” to see whether the AI was paused, a teammate replied, or a newer customer message arrived.
Human takeover (handover)
Pauses the AI for this conversation so a team member can answer directly. Toggle it back on when you're done and the AI picks up from where you left off.
Contact panel
The right-side panel shows the customer's name, phone, email, tags, notes, order history, and past appointments. Click "Edit" to update any field.
Assign to a team member
Use the assign button at the top of a chat to choose who on your team handles it, or set it back to Unassigned. The person you pick gets a notification (you don't get one when you assign a chat to yourself). This is separate from the contact's owner, so a customer can keep their usual account manager while today's chat goes to whoever is on shift.
Team comments
Press Team comments at the top of a chat to leave a note for your team, like "Customer prefers mornings". The customer never sees comments. Type @ to mention a teammate and they get a notification. You can edit and delete your own comments, and the owner and admins can delete anyone's.
Closing notes
When you close a chat, you can pick a closing reason (like Booked or Not interested) and add a few words, for example "Booked for Friday 3pm". Only your team sees it. The note shows at the top of the closed chat, with who closed it and when. Don't need one this time? Press Skip note.
Tags and internal notes
Tag contacts (for example, 'VIP' or 'Cold lead') and add notes that only your team can see. Tags make filtering and Campaigns much easier later.
Search conversations
Find any past chat by customer name, phone number, or words inside the messages. The search bar is at the top of the conversation list.
Send photos, videos, and files
When you reply by hand, tap the + button next to the message box to send a photo, a video, or a file such as a PDF price list. You see exactly what you're about to send — with the option to add a message alongside it — before it goes out.
Photos that may contain nudity are hidden
If a customer sends a photo or video that might contain nudity, the inbox does not show it right away. You see a blurred preview with a note that it may contain nudity, plus a View button. Tap View to see it. The next time the conversation is opened it is hidden again, so nobody on your team sees it by accident. Your assistant is also told not to describe or comment on the photo.
Send a voice note
Tap the microphone next to the message box and speak. When you stop, you can listen to it first, then send it — or delete it and start again. Your customer receives it as a normal voice message.
Send a form
For website chat conversations, the Actions menu has a "Send form" option listing your active forms. Pick one and the visitor is asked to fill it in right inside the chat. You'll see a "Form requested" note in the conversation, which changes to "Form completed" once they submit.
Ad context on conversations
When a customer starts a chat by clicking one of your Meta ads (WhatsApp, Instagram, or Facebook), the conversation shows a card with the ad they came from: the headline, the ad text, and the ad image. Your AI agent also sees this automatically, so it answers about the exact treatment, product, or offer the ad promoted instead of replying generically.
Conversation language
Every conversation shows the language it is in — a small globe with a language code, next to the customer's name and next to the message box. Entagl works it out from what the customer actually writes. That language is used when you tap Rewrite to turn your message into the customer's language, when you tap Draft with AI, and by your AI agent when it replies on its own.
Common tasks
Reply to a conversation
About 1 min- Open the sidebar → Inbox.
- Click a conversation in the list, type your reply at the bottom, and press Send. The AI pauses according to your Auto-pause setting when you reply.
Change a conversation's language
About 1 min- Open the sidebar → Inbox and click the conversation.
- Tap the globe button next to the message box at the bottom. It shows the language Entagl detected, like TR or AR.
- Pick the language you want, or choose Auto-detect to hand it back to Entagl. Your choice applies straight away to rewrites, AI drafts, and your AI agent's own replies.
