Coordinator (Calls)

An AI that answers and makes phone calls — with the same personality, knowledge, and booking skills as your chat agent.

One place to design your voice agent, run call automations, and review results.

Overview

The Coordinator makes and answers phone calls for you — taking bookings, answering FAQs, qualifying leads, running reminder campaigns, and handing off to a human when needed. It works on both your WhatsApp Business number and a regular phone number, using the same voice and rules on each.

Open it from the sidebar under Work → Coordinator. The page is organized into two areas you switch between at the top — Operations (Automations, Queued Calls) and Insights (History, Analytics). Everything you configure — voice, instructions, behaviour and call settings — lives on the Coordinator nodes in Agent Builder, along with the Test Call button for trying the agent live from your browser. When a call is happening, you supervise it from the Inbox. The tabs below walk through each area step by step.

Where things live. You set the Coordinator up on the Agent Builder canvas (Agent Flow on some workspaces): open the Coordinator node for settings that apply to every call, and the Inbound or Outbound node for that direction's instructions, tools, and on/off switch. The Coordinator page itself now shows results — automations, queued calls, history, and analytics. Old links to the old settings tabs redirect to the canvas.

Tabs on this page

Agent Builder → Coordinator (called Agent Flow on some workspaces). Handle recording and consent, set call hours, add a post-call webhook, and put spending limits in place. To turn calling on or off, use the Inbound and Outbound nodes — each has its own switch.

Call Direction

Two master switches: Inbound Calls (the AI answers incoming calls) and Outbound Calls (the AI places calls). Both start off — turn on the ones you want to use.

Recording & Compliance

Record all calls saves the call audio (on by default). Turn it off and no audio is stored — transcripts are still generated. Consent announcement plays a short line telling the caller the call may be recorded, with editable wording.

💡 Check the recording and consent rules for your country and industry — many places require you to announce recording before it starts.

Business Hours

Turn on Business hours only to accept calls just during your open hours; outside them, callers hear the after-hours message you set.

Do Not Contact Compliance

Always enforced: contacts marked Do Not Call are excluded from every call automation, and contacts marked Do Not Message get no AI replies on any channel. Manage these flags on the Contacts page.

Ring your team first

Choose whether your team's Entagl apps ring before the AI answers: Never (the AI answers every call), Only outside AI hours, or Always (team first, AI as backup). Set how long they ring (10–25 seconds). If nobody picks up, or everyone is on another call, the AI answers.

  1. Open Agent Builder → Coordinator → Settings and find Ring your team first.
  2. Pick when the team should ring and how many seconds to ring for, then Save.
  3. Choose who rings under Settings → Notifications → Team alerts → Incoming phone calls.
  4. Each person turns ringing on for their own devices: Ring in this browser on the same card in the web app, and Ring my phone for incoming calls under Settings → Notifications in the Entagl mobile app. Phones ring like a normal call, even when the app is closed.

💡 Calls answered by a team member are not billed as AI minutes.

💡 Have a number that should always go straight to the AI — an ad line, for example? Open Channels → Voice, expand that number and turn off Ring my team for this number. That line goes straight to the AI while all your other numbers keep ringing your team as normal.

Taking a call yourself

When Ring your team first is on, every device with ringing switched on rings at the same time — team phones and open browser tabs — and the first person to answer gets the call; everyone else stops ringing. If nobody answers before the timer runs out, or everyone is already on a call, the AI picks up and carries on as normal, so the caller is never left hanging.

  1. On a phone, the call appears on the phone's own incoming-call screen, exactly like a normal call — even when the Entagl app is closed. It shows the caller's name if you have them saved as a contact, otherwise their number, or Unknown caller if the number is hidden.
  2. Answer, and the Entagl call screen opens: who's calling, how long you've been talking, and buttons to Mute, switch on the Speaker, and Hang up. It closes itself when the call ends.
  3. In the web app an Incoming call banner appears with Answer and Decline. After you answer, a small bar stays at the bottom of the screen showing the caller and the call timer, with Mute and Hang up.
  4. Can't take it? Decline it, or simply let it ring — the AI answers instead and handles the call as usual.

💡 Browser ringing only works while an Entagl tab is open, so turn ringing on in the Entagl mobile app too if you want calls to reach you away from your desk.

Local phone numbers (Türkiye, Spain, Greece and more)

Order a local number for your AI without leaving Entagl, provided through our telecom partner Zadarma. You pick the country, then the city and the operator assigns a number there. It takes incoming calls only; the AI never dials out from it. The monthly price is shown next to every city before you order (a few countries add a one-time setup fee) and is billed with your subscription; calls use your usual AI minutes. Local telecom law requires the number to be registered to you, so you give your registered address and upload the documents the country asks for.

  1. Go to Channels → Voice, click Buy a phone number, then Get a local number.
  2. Choose the Country, then the City — the monthly price is shown next to each option, plus a one-time setup fee where the country has one. Pick the city your customers know you in.
  3. Say who the number is registered to (a company or an individual — some countries accept companies only) and give the registered address. In Türkiye the address has to be in the same city as the number; in Spain and Greece anywhere in the country. Tick the box agreeing to share your documents with our telecom partner, then continue.
  4. On the number’s card, upload the documents listed for your country (ID or passport — both sides — or your company certificate, plus proof of address), then click Order number. Ordering charges the monthly price (and any setup fee) to your card on file; the operator checks your documents after the order is placed — that is how they work — so there is nothing to wait for between the two steps.
  5. Activation time depends on the country — minutes in Spain and Greece, 1 to 20 working days in Türkiye, longer for toll-free numbers — while the operator checks your documents and assigns the number. The card shows the progress and we switch the number on automatically; from that moment the AI answers every call to it (or your team does first, if Ring your team first is on). If the operator cannot accept a document, the card tells you why and asks for a new copy; your number stays reserved while you upload it.

💡 Your documents go directly to our telecom partner Zadarma to register the number in your name; Entagl does not keep a copy after upload.

💡 Cancelling your subscription, a failed payment, or removing the number yourself all put it on hold for 30 days instead of releasing it — it keeps receiving calls the whole time and is not billed while on hold. Click Keep this number on the number’s card (or get your subscription running again) before the hold ends and nothing changes. We remind you when the hold starts, again 3 days before it ends, and once more when the number is finally released. After that it’s gone for good: the operator issues numbers at random, so the same one can’t be requested back.

What a phone number costs

Every number you add is a fixed monthly amount, shown before you buy it, billed to your card on file alongside your plan (you will see it as a separate “Phone numbers” charge on the same day). Some countries add a one-time setup fee, shown in the same place. Calls themselves use your AI minutes as usual.

  1. In Channels → Voice → Buy a phone number, the price appears next to each country and number type, and on every search result, before you confirm.
  2. Settings → Billing lists your numbers under Phone numbers with the monthly total and the next charge date; the invoices tab shows each charge as “Phone numbers”.
  3. To stop paying for a number, release it from its card. The charge stops at the end of the current billing cycle (no partial refund), and you can release another number 30 days later.

💡 Cancelling your Entagl plan ends your phone numbers with it: the cancellation page lists them and asks you to confirm. Twilio numbers cannot be recovered; local (Zadarma) numbers are held 30 days first.

Cost Controls

Set spending guardrails: a Daily call limit (max calls per day), a Per-call cost cap (max spend on any one call), and a Daily spend limit (max total per day). Calls that would exceed a limit are held, not dropped.

Post-Call Webhook

Optional. Paste a URL and we'll POST each call's result (outcome, duration, summary) to your own system the moment the call ends. Each delivery is signed with a secret so you can verify it came from us. Leave it empty to turn it off.

On phone calls, callers can press number keys (for example an order or booking reference) and the AI reads the digits and responds — no setup needed.

Recording with consent

Record call audio (or don't), and automatically announce the recording to the caller. Transcripts are always saved either way.

History & analytics

Every call is logged with its outcome, duration, cost, and a summary — plus trend charts and an outcome breakdown so you can see how calls are going.

Rings your team first

Your team can pick up calls in the Entagl app on their computer or phone before the AI answers. If nobody answers in time, or everyone is busy, the AI takes the call — so no caller is left waiting.

Answer on your phone or in your browser

When a call rings your team first, it arrives on your phone's normal incoming-call screen — even if the Entagl app is closed — showing who's calling. Answer it and you get a simple call screen with mute, speaker and hang up. Every device that's switched on rings at once and the first person to answer takes the call. If nobody does, the AI answers.

Local phone numbers (Türkiye, Spain, Greece and more)

A local number for your AI in the country and city you choose, provided through our telecom partner Zadarma. Incoming calls only — the AI never dials out from it. Each number has a fixed monthly price shown before you order (some countries also have a one-time setup fee), billed with your subscription; calls use your usual AI minutes. Local telecom law requires the number to be registered to you, so you upload a copy of your ID, passport or company certificate plus proof of address. In Türkiye the address must be in the number’s own city; in Spain and Greece anywhere in the country. Some countries only issue numbers to registered businesses.

What a phone number costs

Every phone number you add — a Twilio number or a local number through Zadarma — is a fixed monthly amount shown before you buy, billed to your card on file alongside your plan. Releasing a number stops its charge at the end of the current billing cycle; if your plan ends, your numbers end with it.

Turn on your call agent

  1. Open the sidebar → Work → Coordinator.
  2. On the Coordinator node, expand Voice, pick a voice and speaking style, then Save.
  3. Open the Inbound and Outbound nodes and review each one's template and greeting.
  4. Turn on the switch inside the Inbound and/or Outbound node, then open the Coordinator node to review Recording & Compliance and Cost Controls.
  5. Click the green Test Call button to try it, then you're live.

Choose the agent's voice and style

  1. Go to Agent Builder and click the Coordinator node, then expand Voice.
  2. Preview voices with the play button, pick one, and set the Conversation Style, Voice Speed, and Language.
  3. Click Save in the bar at the bottom.

Set up an automatic reminder call

About 5 min
  1. Go to Coordinator → Operations → Automations and click New Automation.
  2. Trigger: choose Schedule (recurring) or Event (for example, an appointment reminder a day before), and set the timing.
  3. Audience: keep All Contacts or filter by tag, status, or channel — the live count shows how many will be called.
  4. Script: pick a call template or create one, using variables like {{contact_name}}.
  5. Schedule & Retry: set the call window, hourly limit, and retry rules, then Save.
  6. Optionally open the ⋮ menu and choose Run now to place the calls immediately.

Supervise or take over a live call

  1. When a call is live, open its conversation in the Inbox.
  2. Use Listen to monitor silently, or Whisper to send the AI a private hint.
  3. Click Take Over to talk to the caller yourself, then Resume AI to hand it back.

Tips

Keep greetings short. Long intros get interrupted — say who you are and ask how you can help.
Every call uses AI call minutes from your plan plus per-minute phone charges. Track usage in Settings → AI Hours and set caps on the Coordinator node under Cost Controls.
WhatsApp calls need the customer's permission first. Keep Ask to Allow Calls After Booking on in Channels → WhatsApp → Voice Call Settings, so permission is already in place when you call.
WhatsApp calling isn't available in the USA, Canada, Egypt, Vietnam, or Nigeria (Meta policy). For those countries, use the Phone channel — it works everywhere.
Turning off Record all calls stops audio from being saved, but you still get the transcript, summary, and outcome for every call.
Always run a Test Call after changing the voice or prompt — it's the fastest way to catch an awkward greeting before customers hear it.
