Info to collect

Make sure your AI always gathers the details you need before it quotes, books, or hands over.

Overview

Some questions can't be answered until you know a few things first. A moving company can't price a job without the floor, the room count and the date; a clinic can't book without knowing the treatment. "Info to collect" turns that into a checklist your AI works through, one or two questions at a time, in the order you choose. It won't quote a price or take a booking until it has everything — and if the conversation stalls, it can send the customer a simple form link instead. Everything collected is saved to the customer's contact record, so you can find it later.

These permissions apply from the first question until collection ends, even while required answers or photos are missing.

Create with AI

Paste the details you need from customers — or describe them in your own words — and the whole intake is drafted for you: the questions, their order, any “only ask if” rules, and what happens when it's complete. You can then tweak anything by hand, or tell the AI what to change and it edits the draft instead of starting over.

When to ask

Choose what starts the collection: the customer asking about something specific (describe it in your own words, with a few examples), every new conversation, or only when you send it yourself from the inbox. Then pick which channels it runs on — every channel, or only some, for example a website-only form and a separate Instagram-only creator form.

Your questions, in your order

Add each detail you need and drag them into order — that's exactly the order your AI asks them. Each one can be a short answer, a number, a date, a choice list, a yes/no, or a photo.

Only ask when it's relevant

Add an "Only ask if…" rule to any question so it's skipped when it doesn't apply. Ask about an external lift only when there's no elevator, for example — the customer never sees pointless questions.

Natural pacing

Pick how many questions go in one message. If the customer drifts off-topic, your AI answers them briefly and steers back; if they go quiet, it keeps it short. It never traps anyone in a loop.

Skips what you already know

Your AI never asks for a detail it already has. If the customer's e-mail or phone is on their contact record, or they are writing from an Instagram, TikTok or Telegram account, those answers are filled in automatically and only the missing ones are asked. A name is only reused when the customer gave it themselves. Turn off "Fill from what we know" on a question if you want it typed again.

A form link when chat isn't working

If collecting in chat stalls, your AI can send a secure link to a branded form with the remaining questions. It works on any channel, carries your logo, and picks up exactly where the chat left off.

What happens next

Decide what your AI does once it has everything: tell you and let a person take over, let the AI give a price, offer a booking, or simply save the answers.

Saved to the contact

Turn on "Save to the contact" for any question and the answer is stored on that customer's contact record, so you can filter and search by it later.

Common tasks

Create an intake with AI

  1. Open Work → Info to collect and select “Create with AI”.
  2. Paste your requirements (a list, an old form, a client brief) or describe what you want to collect — any language works.
  3. Select Generate. The draft opens in the editor — review the questions, reorder or edit anything.
  4. Want changes? Reopen the dialog, type what to adjust (“make phone optional”) and select Refine — then Save when it looks right.

Create your first intake

About 5 min
  1. Go to Work → Info to collect and click New intake.
  2. Give it a name only you will see, like "Moving quote details".
  3. Under When to ask, describe in your own words what the customer says to start it — and add two or three real examples.
  4. Under What to ask, add each detail you need and drag them into the order you want them asked.
  5. Under What happens next, choose what your AI should do once it has everything.
  6. Click Save. Your AI starts using it on the next conversation.

Skip a question when it doesn't apply

  1. Open the intake and click the question you want to make conditional.
  2. Turn on "Only ask if…".
  3. Pick an earlier question, choose the condition, and type the value — for example: "Is there a lift" is "No".

Send the form to a customer yourself

  1. Open the conversation in your Inbox.
  2. Open the actions menu and choose Send form.
  3. Pick the intake. On the website chat the form opens right there; on every other channel the customer gets a link.

Tips

Fewer questions get finished more often. Ask only what you genuinely can't proceed without.
Write your questions the way you'd say them out loud. "Which floor are you moving from?" beats "Origin floor number".
For choice lists, keep the options short and obvious — your AI only accepts an answer that matches one of them, and re-asks otherwise.
If you choose "Tell me, and let a person take over", your AI will not quote a price for this request — even if it knows your prices. That's the point: the final number comes from you.
