Secure File Uploads
Give customers a private page of your own for photos, documents and videos — instead of attaching them in a chat app.
Overview
Customers send you photos and documents through Instagram, WhatsApp and other chat apps every day, which means those files end up sitting inside someone else's inbox. For a clinic receiving patient photos, or a moving company receiving pictures of someone's home, that is the wrong place for them. With secure file uploads switched on, your AI can hand the customer a private upload page instead. The page carries your business name and is written in the customer's own language. What they send is encrypted, kept privately, shown to you in your Entagl inbox, and deleted automatically on the schedule you choose. It is off until you turn it on, and it is included on every plan.
Features
A private upload link
Instead of asking a customer to attach files in the chat, your AI gives them a link to a private upload page. Only that customer, in that one conversation, can use it — and what they send comes straight to you, never into Instagram or WhatsApp.
Your name, their language
The page carries your business name, not ours, and appears in the language the customer has been writing in. You can also write the short line your AI says when it shares the link, so the request sounds like it came from you.
Everything lands in your inbox
Uploads appear in the conversation as a normal message from the customer, at the moment they sent them, marked with a Vault badge. Photos, videos and PDFs open right there. The same files also appear on that customer's contact record, under Media, where you can filter to secure uploads only.
Your AI can still read them
Your AI looks at what the customer sent and carries on answering about it, exactly as it would with a photo sent in the chat — telling them the photos show what you need, or that the document is clear enough to read. If you would rather nobody but your team ever looks at these files, you can switch that off.
Deleted on your schedule
You decide how long files are kept — anything from 7 days to 1 year — and Entagl deletes them for you when the time is up, so nothing quietly piles up. You can also delete any file yourself, in one click, at any point before that date.
Common tasks
Turn on secure uploads
About 3 min- Open the sidebar → Configuration → Agent Configuration → General.
- Scroll to Secure file uploads and switch on Let customers upload files.
- Under Keep files for, choose how long you want to hold on to what customers send: 7 days, 30 days, 3 months, 6 months or 1 year. Never keep longer than sets the outer limit you are willing to accept at all.
- Under File types customers can send, tick what you accept — Photos, Documents (PDF), Videos. Pick at least one.
- Open Advanced if you want to let customers ask for a shorter keeping time, stop the AI reading the files, or write the line your AI says when it shares the link.
- There is no Save button — each change is saved the moment you make it.
Ask a customer for files
About 2 min- You never paste a link yourself. Once the setting is on, your AI can create one whenever a customer needs to send you something — there is nothing extra to switch on for an individual agent.
- Tell your AI what you need and when, in its instructions — for example, "before quoting a hair transplant, ask for photos of the front, top and back of the head".
- When that moment arrives in a conversation, your AI writes the customer a short message containing their own private link.
- The customer opens it, picks their files and sends them. They arrive in your Inbox in that same conversation, as if the customer had sent them to you directly.
Send an upload link yourself from the inbox
About 1 min- Open the conversation in your Inbox and click Actions.
- Choose “Send secure upload link”. It only appears once Secure file uploads is turned on.
- The customer gets a short message in their own language with the private link. Anything they upload appears in this conversation with a Vault badge, and on their Media tab.
- If the channel refuses the message — for example a WhatsApp chat that has been quiet for more than 24 hours — you’ll see a warning instead of a false “sent”.
Delete a file early
About 1 min- Open the sidebar → Inbox and open the conversation.
- Find the message carrying the Vault badge. Rest your mouse on the badge to see the date those files are due to be deleted.
- Click Delete these files now next to the badge, then confirm.
- The message stays in the conversation so your history still reads properly, but the files are gone — it now says they were deleted and can no longer be opened.
